An Operator is a person who has a login ID created in the database which enables them to use the application. 

Each Operator has a unique ID and is able to set and change their own password.  The application will use the ID to record who has made changes to the records in the database, therefore it is important that you do not share your login with other staff.

In the Incisive application (SPM/PHM) an Operator is anyone using a workstation (computer) with access to the database and not necessarily a Provider.

Each Operator is then assigned one or more ‘ROLES’ which will provide ‘permissions' to each of menu options. The Roles are assigned on a Provider basis.

New

Setup > Personnel > Operators > New

Please note that you will require permissions to do this.  Not all Roles will have these permissions.  If you do not have permissions to do this, please contact the System Administrator.

Fullname

Enter the full name of the Operator

Operator ID

The Operator ID is usually the two or three initials.  It must be unique.

Email Address

Record the email address (practice) of the Operator if you are sending out emails from the Incisive application and require an alternate 'Reply to' address rather than the default entered in Setup > Provider > Email.

The email address is used to match with the login to the inTOUCH application and must be the same as the one configured for the inTOUCH login.

Mobile Phone

Record a mobile phone number for the Operator. 

Position

Secretary, Doctor, Practice Manager etc. This is an employment description only and has no effect on the Permissions or Roles

Default Provider

Select a default Provider for the Operator.  This should be the Provider (doctor) that the Operator will primarily work for.  When the Operator log in the default Provider will be already selected.

Medical Alerts

Select whether the Operator will be allowed to View, Create or Delete Medical Alerts or leave blank if they are to have no ability rights.

Is Sub-contractor

This option is only used if an anaesthetist or surgical assistant is to use the inTOUCH application to have access to the patient lists and notes in their operating sessions. They must be first entered as a sub-contractor in Setup > Contacts> Sub-contractors.

Roles

This lists the Roles that have been applied to the Operator for each Provider.

For example, they might be a secretary for one specialist but also do the typing for another specialist as well.

Edit

To amend any operator  details select Edit and make the necessary changes.

Delete

To Delete an Operator

Highlight the Operator you wish to delete and select 'Delete'.

Confirm the Operator you wish to delete.

The Operator record is not actually deleted they are just hidden from the list and the date is recorded as 'Date Off'. They can be re-established using the 'Display' option.

Display

Deleted Operators

By default, the list of Operators does not include deleted Operators.  To include these in the list, select 'Display' and choose Deleted Operators.

Messaging Options

This option allows you to:

  • Add an email address to view incoming emails in the Message Centre, which can then be saved to the patient's record.

  • Enter the path to folders to allow the importing of:

    • Scanned documents

    • Images

    • External documents or reports

    • Online patient registration forms

  • Add connectors to online storage

    • Azure Storage

    • Dropbox

    • OneDrive

  • Auto-import photos taken from the inTOUCH application.

Copy Roles

The Copy Roles function allows you to copy roles from one operator to another.

  1. Select the operator you want to copy the Roles from.

  2. Select OK.

  3. The Roles will be copied to the new Operator you are creating.

Assign Roles

The Assign Roles function allows you to assign roles by Provider to the current selected operator. This performs the same function as the Setup > Personnel > Roles then selecting the Operator and choosing the Roles button - it's just faster.

From Setup - Personnel - Operators - Edit

  1. Tick the appropriate columns and row to assign the roles.

  2. Select OK to save the Roles.
