Modifying and sending SMS Messages (in response to COVID-19)

We have had a number of queries from clients wanting to change the text of their SMS Messages due to COVID-19, or to be able to send additional messages.  In response to this we have prepared the following:

Automated Appointment Reminder Messages

The text for the automated appointment reminder messages are linked to the Appointment Session.  To modify these:

  1. Setup – Appointments – Session Types.
  2. Highlight the relevant session type and select Edit (the sessions with SMS Messages configured against them will have in the SMS column).
  3. Modify the text in the SMS Messages (Appointment Reminder) section.
  4. Note the number of characters for the sample message.  As with every SMS/txt message, each block of up to 160 characters (including the default and expanded text) is charged as a separate message.
  5. Select OK to save the changes.

Ad-hoc messages

If you want to send an additional, ad-hoc message to patients in your upcoming appointment lists we suggest the following:

  1. Create the text as a template via Setup – Templates – Letters.
    Ensure the SMS option is ticked when creating the template. Do not use any formatting.
    If possible, restrict your message to 160 characters. As with every SMS/txt message, each block of up to 160 characters is regarded as a separate message and will therefore be charged for.
    Use Merge Codes (F9) to customize the message if required.
  2. To send a message to all patients booked in a clinic, highlight the Session Header and select SMS. All patients with a mobile number and who have opted in to receive a text message will appear in the list.  In the Message field either type a message or use F8 to select the SMS message templates from the list.
